Job Details

Openly is hiring for a full-time Events and Planning Specialist. This role will support the growing and diverse needs of the company, specifically the Operations teams of Shared Services, Marketing, and Sales. Due to the variety of responsibilities required in this role, Openly is looking for a candidate that demonstrates high energy, attention to detail, and superior organization and time management. This is a very visible role throughout the organization requiring excellent written and verbal communication skills, the ability to effectively cope with change, and competing priorities. This role will be required to work from our Boston office located at 131 Dartmouth Street.

Key Responsibilities

  • Primary liaison for the corporate office in Boston; first point of contact regarding office policies, procedures, and protocols
  • Plans and organizes in-person and off-site meetings including scheduling conference rooms, registering guests and employees when visiting the Boston office, and orders catering for meeting needs
  • Selects meeting locations for off-site meetings, identifies catering vendors, and secures contracts for terms/cost of service
  • Manages the conference and tradeshow schedule for the Sales team, ensuring booth materials, give-aways, and swag orders are inventoried and shipped timely
  • Responsible for ordering, delivering, and managing appropriate inventory levels for Openly branded clothing and items
  • Ensures office supplies are adequate to support day-to-day activities and in preparation for on-site meetings
  • Notarizes legal documentation when necessary
  • Remote deposits premium payments to the Openly lockbox
  • Performs ad-hoc tasks as necessary

Requirements

  • Ability to commute to the Boston office minimum three times a week
  • 2+ years of administrative experience or equivalent
  • Ability to travel up to 10% annually
  • Is a current notary or will become notarized
  • Prior event planned experience preferred
  • Familiarity with Google Suite a plus
  • Ability to manage confidential information appropriately and professionally
  • Desire to work in a fast paced, dynamic startup environment and is adaptable in nature
  • Resourcefulness, intellectual curiosity, and a genuine interest in learning new processes and working in a fast-paced startup
  • Strong business acumen, analytical and project management skills
  • Excellent interpersonal communication skills, both verbal and written
  • Incredibly organized with superb attention to detail
  • Ability to successfully support multiple projects and requests while delivering a high degree of service
  • Self-starter mentality with strong time-management skills who can work autonomously

Compensation & Benefits:

The target salary range represents the budgeted salary range for this position. Actual compensation for this position will be determined based on the successful candidate's experience and skills. We are committed to providing a compensation package that not only reflects the responsibilities and requirements of the role, but also the unique expertise that the chosen candidate will bring to our team.

$62,960$74,765 USD

The full salary range shows the min to max salary range for this position. Actual compensation will be commensurate with experience and qualifications and determined based on various factors including the candidate's qualifications, skills, and experience.

Full Salary Range
$59,025$98,375 USD
